VPSM Recruitment Process

Most patients aged 18 years and older admitted to a public hospital are eligible to be recruited to the VPSM

The process:

  • On admission all eligible patients are provided with a VPSM brochure which includes a Refusal to Participate Form.
  • If a patient completes the Refusal to Participate Form they are excluded from the VPSM.
  • At the end of each month, hospitals forward the names and contact details of eligible patients to UltraFeedback.
  • UltraFeedback randomly selects patients from each hospital to receive a survey.
  • Surveys are posted.
  • A reminder letter is sent approximately two weeks later if the survey has not been returned.
  • At the end of the six month survey period all names and addresses are destroyed.

The survey is available in 16 community languages and respondents receive language versions according to their indicated preferred language:

  • Arabic
  • Cantonese
  • Croatian
  • Greek
  • Hindi
  • Italian
  • Macedonian
  • Maltese
  • Mandarin
  • Polish
  • Russian
  • Serbian
  • Spanish
  • Somali
  • Turkish
  • Vietnamese

Victorian Patient Satisfaction Monitor Information
If a patient has not signed a Refusal to Participate Form, and is selected to receive a questionnaire but decides they do not wish to participate, they can disregard the survey.

At all stages in the VPSM process – recruitment, surveying and reporting – a patient's confidentiality and anonymity are assured. Patients' contact details are stored in a separate database to their responses. The contact details are destroyed after the six month survey period.
